This Privacy Policy describes how CTS collects, uses, stores, and protects personal information in compliance with applicable federal and Arizona state law, including Arizona’s data security and breach notification statutes (A.R.S. §§ 18-551 and 18-552), the Health Insurance Portability and Accountability Act (HIPAA), and the federal CAN-SPAM Act. CTS is a managed IT services provider based in Gilbert, Arizona, serving small and mid-sized businesses across the Phoenix East Valley. By using this Site, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use this Site.
2. Information We Collect
Arizona law (A.R.S. § 18-551) defines “personal information” as an Arizona resident’s name combined with any of the following when unencrypted: Social Security number; driver’s license or state ID number; financial account, credit card, or debit card number with any required access code; medical or health insurance identification; taxpayer identification number; passwords, PINs, or security question answers; biometric data; or a unique electronic identifier combined with any required security code. CTS limits its collection of personal information to what is necessary to respond to inquiries and deliver services.
2.1 Information You Submit Directly
When you complete a contact form, request a free IT assessment, or otherwise communicate with CTS, we may collect: your name, business name, and job title; your email address and phone number; a description of your IT environment or support needs; and any other details you voluntarily include. Providing this information is voluntary. We use it only to respond to your request and, where you have expressly consented, to follow up with information about CTS services.
2.2 Information Collected Automatically
When you visit the Site, our hosting platform and analytics tools automatically collect certain technical data, including: your IP address and approximate geographic location; browser type, version, and operating system; pages visited, navigation path, and time on page; referring URL; and device type. This data is collected in aggregate and used to improve Site performance. It is not used to identify individual visitors without additional context.
3. Google Analytics and Cookies
3.1 Google Analytics
This Site uses Google Analytics, a web analytics service provided by Google LLC. Google Analytics places cookies — small text files stored on your device — to collect information about how visitors use this Site. Data collected may include your IP address, browser and device details, pages visited, and session duration. This information is transmitted to and stored on Google LLC’s servers in the United States. CTS uses Google Analytics to understand Site performance, identify useful content, and measure marketing effectiveness. Google Analytics does not receive personally identifying information submitted through CTS contact forms. CTS does not combine Google Analytics data with contact form submissions to identify individual visitors. You may opt out of Google Analytics data collection at any time by installing the Google Analytics Opt-Out Browser Add-On available at
tools.google.com/dlpage/gaoptout. You may also configure your browser to block or delete cookies. Declining cookies will not impair your ability to navigate or use this Site.
3.2 Cookies
A cookie is a small text file placed on your device when you visit a website. Our hosting platform and Google Analytics use cookies to support basic site functionality and to collect aggregate usage data as described in Section 3.1 above. CTS does not use cookies for advertising, retargeting, or to track visitors across third-party websites. You may block or delete cookies at any time through your browser settings without affecting your ability to use this Site. For instructions, consult your browser’s help documentation.
4. How We Use Your Information
CTS uses the information we collect for the following purposes: to respond to your inquiry or service request; to schedule and conduct IT assessments or consultations; to deliver managed IT services under a signed agreement; to send service-related communications including updates, invoices, and support notifications; to comply with applicable federal and Arizona state law; and to improve our Site and service offerings. We do not sell, rent, or trade personal information to third parties for marketing purposes.
4.1 Email Communications and CAN-SPAM
CTS complies with the federal CAN-SPAM Act. If you submit your email address through a contact form or consultation request, we may send you follow-up communications related to your inquiry. Any marketing or promotional emails sent by CTS will: (a) clearly identify CTS as the sender; (b) include our valid physical mailing address: Complete Technology Solutions, LLC, 1525 S Higley Rd Ste 104, Gilbert, Arizona 85296; and (c) contain a clear and conspicuous mechanism to opt out of future marketing emails. CTS honors opt-out requests promptly and does not send unsolicited commercial email.
4.2 Opt-Out of Email
You may opt out of receiving marketing or non-essential email communications from CTS at any time by: (1) clicking the unsubscribe link included in any CTS email; (2) replying to any CTS email with the word UNSUBSCRIBE in the subject line; or (3) emailing
privacy@cloud-cts.com; and requesting removal. We will process all opt-out requests within 10 business days. Opting out of marketing emails will not affect transactional or service-related communications for active CTS clients.
5. How We Protect Your Information
CTS implements reasonable administrative, technical, and physical safeguards to protect personal information from unauthorized access, use, disclosure, alteration, or destruction. As a managed security services provider, we apply the same security disciplines to our own data that we recommend to clients — including encrypted data transmission (TLS), access controls, multi-factor authentication, and regular security assessments. No security system is impenetrable; you transmit information to us at your own risk.
5.1 HIPAA-Adjacent Data Handling
CTS serves clients in healthcare-adjacent industries including medical practices, dental offices, urgent care facilities, and health services organizations. When CTS provides managed IT services to a HIPAA-covered entity or its business associate, CTS operates as a Business Associate under 45 C.F.R. § 160.103 and executes a Business Associate Agreement (BAA) as required by 45 C.F.R. § 164.308. CTS implements administrative, physical, and technical safeguards consistent with the HIPAA Security Rule (45 C.F.R. Part 164, Subpart C) for any systems that process, store, or transmit Protected Health Information (PHI). CTS does not use or disclose PHI except as permitted by the applicable BAA or as required by law. This Site does not collect health information. No PHI should be submitted through this Site’s contact forms.
6. How We Share Your Information
CTS does not sell or rent personal information. We may share your information only in the following limited circumstances: (a) Service Providers — with vetted third-party vendors who assist in operating our business (e.g., CRM platforms, email services, scheduling tools), strictly limited to what is necessary to perform those services and bound by confidentiality obligations; (b) Legal Requirements — when required by applicable law, court order, or legal process, or to protect the rights, property, or safety of CTS, our clients, or others; (c) Business Transfers — in connection with a merger, acquisition, or sale of assets, in which case the successor entity will be bound by this Privacy Policy; (d) With Your Consent — in any other case where you have given us explicit written consent to share your information.
7. Data Retention
7.1 Retention Periods
CTS retains personal information only as long as necessary to fulfill the purpose for which it was collected, or as required by applicable law. Contact form submissions are retained for up to 24 months for follow-up and business development purposes. If you become a CTS client, information relevant to your account and service history is retained for the duration of the service relationship and for a minimum of 7 years afterward, consistent with Arizona contract and tax record-keeping requirements. Google Analytics data is retained per Google’s default retention settings (26 months), which you may shorten by installing the Google Analytics Opt-Out Add-On.

8. Arizona Data Breach Notification
Under Arizona Revised Statutes §§ 18-551 and 18-552, CTS is required to notify affected Arizona residents in the event of a security breach involving their unencrypted personal information. In the event of a breach, CTS will: (1) conduct a prompt investigation to determine the scope and nature of the breach; (2) notify affected Arizona residents in the most expedient manner reasonably possible, and no later than 45 days after discovery of the breach, unless a shorter period is required by federal law; (3) notify the Arizona Attorney General if the breach affects more than 500 Arizona residents; and (4) coordinate with law enforcement if the breach appears to involve criminal activity. Notification will be provided by direct written notice, electronic notice (where the affected person has consented to electronic communications), or, if the cost of direct notice exceeds $50,000 or the number of affected persons exceeds 100,000, by conspicuous posting on CTS’s website and notification to major statewide media.
